This policy explains how Indeza Global LLP ("we", "us") handles personal data when you visitindeza.in or use Indeza VCloud, our cloud business-management (ERP) software. It is written to meet India's Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and its rules, and the data-protection laws of the other countries where our customers operate.

2. Our two roles
For our own website and accounts — visitors, people who ask for a demo, and the people who sign up for and pay for Indeza VCloud — we decide how the data is used and are responsible for it.
For the business data our customers store in Indeza VCloud — for example their customers, vendors, employees, invoices, stock and attendance records — the customer decides what is collected and why. We process that data only on the customer's instructions to provide the service. If your data is held by one of our customers, please contact that business first; we will help them respond.
3. Data we collect
Data you give us
- Contact and demo requests: name, email, phone or WhatsApp number, company and your message.
- Account details: names, emails and roles of the users you add, company and branch details, GSTIN and similar tax identifiers.
- Billing details: plan, invoices and payment status. Card, UPI and bank details are entered with our payment provider (Razorpay) and are not stored by us.
- Support conversations by email, phone or WhatsApp.
Data collected automatically
- Technical data such as IP address, browser, device and pages visited, kept in server logs for security and troubleshooting.
- If you accept analytics cookies on this website, usage data through Google Analytics. Analytics cookies are off until you accept them.
- Data from devices and services you connect, such as biometric attendance devices and messaging or email accounts.
4. How we use it
- To provide, secure and support Indeza VCloud, including creating trial and paid accounts.
- To answer enquiries and arrange demos.
- To bill you and keep the accounting and tax records the law requires.
- To send service messages (for example billing, security and product changes). Marketing messages are sent only where you have agreed, and you can opt out at any time.
- To understand how the website is used and improve it, where you have accepted analytics cookies.
- To meet legal obligations and protect our rights.
We do not sell personal data.
5. Who we share it with
We share data only with service providers who need it to run the service, under contract, and only for that purpose:
- Hosting and infrastructure providers.
- Payment processing (Razorpay).
- Messaging and email delivery — for example WhatsApp Business (Meta), SMS gateways and email providers — when you or our customer turn these features on.
- Integrations a customer chooses to connect, such as accounting software, GST/e-invoicing services and AI providers. Data sent to an AI provider is limited to what the feature needs.
- Analytics (Google), only if you accept analytics cookies.
- Authorities, where the law requires it.
Some of these providers may process data outside India. Where they do, we take steps required by law to protect it.

6. How long we keep it
We keep personal data only as long as we need it for the purposes above. Account data is kept while the account is active and for a limited period after it closes so you can export your data. Invoices and accounting records are kept for as long as Indian tax and company law requires. Backups are deleted on their normal rotation cycle of[backup retention period — to be confirmed].
7. Security
We use reasonable security practices, including encrypted connections (HTTPS), role-based access controls and restricted staff access. No system is perfectly secure; if a breach affects your personal data we will notify you and the authorities as the law requires.
8. Your rights
Subject to applicable law, you can ask us to:
- tell you what personal data we hold about you and how we use it;
- correct, complete or update it;
- erase it, where we no longer need it or the law does not require us to keep it;
- withdraw consent you have given (this does not affect processing already done); and
- nominate someone to exercise your rights if you die or become incapacitated.

9. Cookies and local storage
This website uses your browser's local storage to remember small choices, such as your cookie preference and dismissed notices. Google Analytics cookies are set only if you click "Accept" on the cookie notice. TheIndeza VCloud application uses essential cookies to keep you signed in.
10. Children
Our services are for businesses and are not directed at anyone under 18. We do not knowingly collect children's data.
11. Grievance officer
If you have a concern about how we handle your data, contact our Grievance Officer:Adnan N V (Compliance Officer),support@indeza.in. We will acknowledge your complaint and respond within the time the law requires. If you are not satisfied, you may complain to the Data Protection Board of India.
12. Changes to this policy
We may update this policy. We will post the new version here with a new effective date and, for significant changes, tell account holders by email.
